Terms of Service

These terms describe how organizations may access and use DocMind, including API usage, billing, acceptable use and ownership of customer data.

1. Agreement to terms

These Terms of Service govern access to DocMind, a Wistfare product. By creating an account, using the dashboard or calling the API, you agree to these terms on behalf of yourself or the organization you represent.

2. Accounts and organizations

You are responsible for maintaining accurate account information, protecting credentials and ensuring that each user has appropriate authority. Organization administrators control members, API keys, templates, billing and data-retention decisions for their workspace.

3. Acceptable use

  • Do not upload documents you are not authorized to process.
  • Do not use DocMind to violate laws, infringe rights, send malware or attempt unauthorized access.
  • Do not reverse engineer, overload, scrape or bypass platform limits.
  • Do not expose API keys in browsers, mobile apps or public repositories.

4. API usage and limits

The API is designed for asynchronous extraction workloads. Wistfare may apply fair-use limits, queueing, throttling and abuse controls to protect platform reliability. You are responsible for retry logic, idempotency keys and validating extraction results before using them in high-impact workflows.

5. Pages, fees and payment

DocMind uses page-based pricing for document OCR and extraction. Charges are calculated from processed pages, then deducted from the organization balance. Top-ups may be processed through Wistfare-supported payment methods, including Mobile Money. Fees are non-refundable except where required by law or expressly approved by Wistfare.

6. Customer data and ownership

You retain ownership of documents, templates and extracted data submitted to DocMind. You grant Wistfare the rights necessary to host, process, secure, transmit and return that data in order to provide the service. Wistfare does not sell customer data.

7. Service availability

Wistfare aims to operate DocMind reliably and publishes current component health on the status page. Maintenance, provider incidents, rate limits and force majeure events may affect availability. The status page is informational unless a separate written service-level agreement applies.

8. Warranties and disclaimers

DocMind is provided with reasonable care, but extraction results may be imperfect. You are responsible for review, validation and downstream use of extracted information. Except as required by law, the service is provided without implied warranties of merchantability, fitness for a particular purpose or non-infringement.

9. Limitation of liability

To the maximum extent permitted by law, Wistfare will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Aggregate liability is limited to amounts paid for DocMind during the three months before the claim.

10. Termination

You may stop using DocMind at any time. Wistfare may suspend or terminate access for non-payment, security risk, unlawful use or material breach. After termination, customer data is handled according to retention settings, legal obligations and backup expiration schedules.

11. Changes to terms

Wistfare may update these terms to reflect product, legal or operational changes. Material changes will be announced with reasonable notice where practical. Continued use after the effective date means you accept the updated terms.

12. Governing law

These terms are governed by the laws applicable to Wistfare unless a separate written agreement states otherwise. The parties will first try to resolve disputes in good faith before pursuing formal proceedings.
